Setting up your company

The Get Flow ready checklist on Home, what to set on each of the six pages, and where an older link lands now.

Only a company admin can change these. A manager reads results and nothing else.

Flow gives a company admin six pages, in a sidebar down the left of every screen: Home, Rounds, Policy, People, Tools, and Company. Your company’s name sits at the top of the sidebar. Across the top of each page, a line shows where you are, and the page’s own buttons sit at the right end of it. What you set on Policy, People and Tools is what your results are read against, so the figures describe your own work rather than a generic company.

The six pages

In sidebar order:

Page What it is for
Home The Get Flow ready checklist until you send the assessment, then how many people have answered, then your results.
Rounds The round you are running: what it asks, who gets it, and how far it has got. Send it, close it, start the next one, and open the questions from here. Finished rounds are listed underneath.
Policy Two tabs: the documents themselves, and the commitments Flow read out of them.
People Who is on which team, who reports to whom, and the HR system that keeps that list current.
Tools The company’s register of the AI tools it uses: who owns each one, what may go in it, and how much AI is in it.
Company What the company does, and who else can open these pages.

A manager signs in to the same Home and also gets Tools. They see only the people who report to them, and the sidebar offers them no other page.

Home, before you send

Home shows a checklist called Get Flow ready until the assessment goes out. It has four steps, in this order:

  1. Bring in your people. Connect your HR system, or add them by hand.
  2. Add your AI policy. Upload a PDF or a document. Flow reads the commitments out of it.
  3. Review the questions. Reword them, reorder them, or add your own.
  4. Send Round 1. Everyone gets a link by email. This step opens Rounds, where the Send button sits.

If your company is on Velory, the first step also has a link: Import people and tools from Velory. It opens Import from Velory on People. Paste an API access token from Velory (see how do I connect our HR system, Step 1c) and press Check token. Flow checks the token and then shows one preview: how many people and teams the sync will bring in, and how many tools your software list in Velory adds to Tools. See who and which teams opens the full people preview under it. Press Import to run both. The people come in first, then the tools. If the tools fail, your people stay synced and Flow says why. You land on Tools if the people synced cleanly, or on the HR system panel under People if the sync reported problems, so those are not hidden. If the saved token is the problem, fix it in your HR system settings first. Then use Import from Velory on Tools to try again. If another HR system or a file import is connected, Check token replaces it with Velory. Flow only reads from Velory. Later syncs bring in people only. To import tools again, use Import from Velory on Tools.

The step you are on is tinted and carries the button. A step you have finished collapses to a tick, a line counting what is there, and a link to the page it lives on. A step you have not reached yet shows roughly how long it takes.

Each step opens the page that owns it. There is no separate setup screen to get lost in, and nothing to resume: Flow works out where you have got to from your roster, your saved policy, whether you have saved the questions, and whether the assessment is live. Do them in any order and the checklist keeps up.

Under the checklist, the results sit as four empty dashed cards saying Opens at 5 answers. Send the round and the checklist goes. Home then counts who has answered, which teams are still short, and what is waiting on you. At five answers it becomes your results.

At the top of Home there is one pill naming the newest round and its state, such as Round 2 · Live · sent 7 Sept 2026. Click it to open Rounds. Home has no buttons that change a round. Sending, reminding, closing a round and starting the next one all happen on Rounds.

A manager never sees the checklist or the round pill, because every step and every move is a change only an admin can make.

People

Open People. The roster is the page: one row per person, with their job title, their team, and whether they are a manager. Open the ⋯ menu on a row for Edit and Remove.

The assessment needs a role and a team for each person. A row that is missing either one reads Not set in that column, and that person cannot take the assessment until you fill it in. The line under the heading counts them: “59 people on 10 teams. 6 need a role or a team.”

Press Needs attention beside the filter box to see only those rows. Open the ⋯ menu on each and press Edit to give them a role and a team.

To find someone, type a name, an email address or a team name in the filter box at the top left.

Needs attention beside it is the one filter, and it takes no values: press it for the rows that need a role or a team, press it again for the whole list. Clear filters, beside it, turns it off and empties the filter box.

Your filters and your place in the list sit in the address of the page, so a bookmark or a link you send opens the same view.

The footer counts what your filters left. Set Rows per page to 10, 25, 50 or 100 and step through with the arrows. The box at the left of each row ticks that person; the footer then counts your ticks instead. Nobody else sees them and nothing is saved.

People has two tabs under its title: People, the list of everyone, and Teams. Each tab shows how many it holds.

Roles, Add people and Connect HR system sit at the right end of the filter row, just above the table. Roles opens the page that explains each job title. Add people opens a short menu: Add manually or Import CSV.

To add people by hand, press Add people, then Add manually. A side panel opens with one row per person:

  1. Type their name, email address and job title.
  2. Pick their team. The list holds the teams on the Teams tab. To add a team, open Teams first.
  3. Switch on Manager if they manage people.
  4. Press Add another person for the next row, or × to drop a row.
  5. Press the save button. It counts the rows you filled in, for example Add 2 people.

Every row needs a real email address. If one row is wrong, nobody is added and the panel says so. Someone already on the roster is skipped and left as they are. You can add up to 50 people at a time. For a whole company, connect your HR system or import a file.

Manager shows who manages people. Until you set it, it comes from the reporting lines your HR system sends: someone is a manager when somebody on the roster reports to them. To set it yourself, open the ⋯ menu on their row, press Edit, and choose Yes or No under Manager. What you choose stays through the next sync. Choose From reporting lines to hand it back to your HR system. This setting is a label. Results access comes from the reporting lines themselves, below.

To remove people, tick them in the table and press Remove selected in the footer. You are asked to confirm. Removing someone takes them off the roster and does not erase what they answered.

Managers read results for their reports. A manager reads the results for everyone who reports to them, directly or further down: totals and summaries, plus each person’s level on the AI check. Never anybody’s answers in their own words. There is nothing to grant. The reporting line comes from your HR system or the Manager email column of an imported file. Change someone’s manager and the access moves with it. Someone with no reports sees no results. See who sees what.

To pull people and teams from the HR system you already run, press Connect HR system above the table. The panel shows the connection, the last sync, and the field for the key. See connecting your HR system.

Adding people here does not email anyone. Sending is its own step, the fourth on the Home checklist, and it happens on Rounds. See sending an assessment.

Teams

Open People, then the Teams tab. It lists every team with the team it is part of and how many people are on it. A team that sits under another team is indented under it. Type in the filter box to find a team by name.

To add teams, press Add teams. A side panel opens with one row per team:

  1. Type the team’s name.
  2. Under Part of, pick the team it sits under, or leave it on Top level. A team you typed in a row above shows up here too, so you can add a team and its sub-team in one go.
  3. Press Add another team for the next row, then the save button.

To rename or move a team, open the ⋯ menu on its row and press Rename or move. Delete is in the same menu, behind a confirm. People on a deleted team stay on the roster without a team.

Policy

Open Policy. This page has two tabs.

Commitments is the list itself: one row per rule Flow read out of your documents, with the sentence it came from and which document it came from. Review it, tick the rules the assessment may ask about, and press the button at the top of the screen. It reads Save and create the assessment when a rule you ticked has no question yet, and stores the list and writes those questions in one press. What you tick is what the conversation raises. Only a saved list counts, and saving again replaces the one before it.

Documents is where you add, re-read and remove your own files. Up to five documents, each up to 10 MB, in PDF, Word, PowerPoint or plain text. With no documents yet, a link under the drop box offers the Flow template: five Article 4 commitments, all ticked, which you edit or untick to fit your company.

The round’s questions stay shut until you save here, because they are written from the rules you tick. Taking the template and saving counts. Saving opens the questions straight away and they appear over the next minute, with a banner counting them in.

Always asked is the card at the top of the Commitments tab. It holds the two things every assessment asks about: Where a wrong answer goes, and What may go into a tool. If you have added a document, most of it is already filled in: the same read that finds your commitments also looks for these two answers, and each one shows the sentence it came from and which document said it. Read them, change what is wrong, and save. The same button saves them as saves the rest of the list. Each save keeps the previous version with its date, so you can show what applied when.

Nothing is in force until you save. A drafted answer is a suggestion sitting in the form, so the assessment grades nobody against it until you have read it and pressed save.

Where your documents decide nothing, the row reads Not in your documents. Your answer. and stays unanswered. Flow does not guess it for you.

If you have edited an answer and want the document’s wording back, press Reset to what your documents said, under the table. It puts back what Flow read, over your edits.

A second document can change a suggestion. Where two documents both rule on the same thing, the more recent one is the one you are shown, and the sentence under it names that document. Your own saved answers stay as they are: a new upload never moves a rule people are already being graded against.

You do not have to finish in one sitting. Save works as soon as you have written the escalation route, and a category you have not ruled on is stored as not ruled on. A line above the button names the ones still to decide.

Know Your AI, the AI literacy check, cannot go live or be sent until the Always asked card is complete: the route written, and all four kinds of material ruled on.

Company

Open Company. Under What the company does, write a paragraph on what the company does, then Save. The assessment reads it, so its questions sound like your business. The line under the box says when it was last saved and by whom.

To fill empty fields from the company’s public website, click Fill it from your website at the top right of the page. It fills a name that is still just the domain, an empty profile, or a missing logo. It does not overwrite anything you already typed. To refill the profile, clear it, save, then click the button again.

Who runs Flow here lists the admins. Type a colleague’s work email and press Invite as admin to add one. They can open this company once they sign in. To remove an admin, ask your Velory contact. Managers come from the reporting lines on People.

There is nothing here about the five-person floor, because there is nothing to set. Anything built from individual answers needs five people before it shows, for every company, and nobody can change that number. See reading your company results.

If you have an older link or bookmark, it still works. It opens the page that answers for it now.

Setup used to be four screens of its own. That is the Get Flow ready checklist on Home now, so there is one page to come back to.

Good to know

  • You cannot type your company’s name or its email domain. Those are set by Velory staff. If one is wrong, write to us. Fill it from your website can fill an empty name or logo from the public website. It will not replace a name that is already set.
  • Help sits at the foot of the sidebar. Your name is under it. Press your name to open Profile and Assessments, the same pages everyone at your company sees, or to Sign out. Your own questions are under Assessments.
  • Run Flow for more than one company? Click your company’s name at the top of the sidebar to switch.
  • None of this is required up front. You can come back to any of it.
